Camera-Ready Instructions

How to prepare, validate with IEEE PDF eXpress, and submit the final version of your accepted EM³I 2027 paper.

Overview

Congratulations on the acceptance of your paper. To be published in IEEE Xplore, the final (“camera-ready”) version must pass IEEE PDF eXpress, a free IEEE service that checks that your PDF is compatible with IEEE Xplore. This page walks you through the whole process, from editing your paper to uploading the files in CMT.

30 Nov 2026Camera-ready deadline in CMT, 11:59 PM IST (UTC+5:30)
6 pagesMaximum, including references. No extra pages.
70555XIEEE PDF eXpress Conference ID for EM³I 2027
4 filesPDF, source ZIP, copyright form and (if revised) a response letter
Start early. PDF eXpress may need several attempts, and reaching IEEE support takes time. Please validate your PDF at least a week before the deadline; do not leave it for the last day.

What you have to do depends on your decision

Your CMT statusWhat to do now
AcceptPrepare and submit the camera-ready paper (steps 2–9 below). A response letter is not needed.
Minor RevisionMake the changes asked for by the reviewers in your camera-ready paper and also upload a short response letter. The Technical Program Committee (TPC) checks the revision and then changes your status to Accept.
Major RevisionFirst upload the revised paper and response through the Revision link in CMT within the 7 days given. The TPC then decides. Only if the paper is accepted will you be asked to follow the camera-ready steps.
Reject / Desk RejectNo camera-ready version is needed.

The four files you will upload to CMT

Name every file with your CMT paper (submission) ID, for example 237_final.pdf.

Final paper REQUIRED<ID>_final.pdf
The PDF that passed IEEE PDF eXpress, uploaded unchanged.
Source files REQUIRED<ID>_source.zip
Word file (.docx), or the complete LaTeX project (.tex, .bib, style files, all figures).
IEEE copyright form REQUIRED<ID>_eCF.pdf
The completed IEEE electronic copyright form (eCF), downloaded from the link in CMT.
Response to reviewers IF REVISED<ID>_response.pdf
Needed for Minor/Major Revision papers: each reviewer comment, your reply and where the change is in the paper.

Step-by-step guide

1

Read your reviews and decision

Sign in to the EM³I 2027 Author Console in CMT and open your paper. Read the decision and all reviewer comments carefully. If the status is Minor Revision, list every comment you need to address; you will describe how in the response letter (step 8).

Look for the Camera Ready link next to your paper. It appears only after the organisers have enabled camera-ready submission for your paper. If you do not see it a few days after your acceptance mail, write to [email protected] with your paper ID.

2

Update your paper in the IEEE template

Use the official IEEE conference template (A4, two columns, 10 pt) and keep the following in mind:

  • Maximum 6 pages including references. No additional pages can be purchased for this conference.
  • Address every reviewer comment. Add or correct references, figures and tables as required.
  • Do not change the author list or the author order from the reviewed submission. Check that all names, affiliations and e-mail addresses are correct and complete.
  • Do not add page numbers, headers, footers or a copyright notice.
  • Proofread. Spelling, grammar and reference formatting errors will remain in the published paper.
  • Make figures sharp: use vector graphics where you can, or at least 300 dpi images. Make sure the text inside figures is readable at print size.
  • Remove tracked changes, comments and highlights from the file.

Create the PDF of your final paper

Create the PDF from your final Word or LaTeX file, and read it through once before checking it.

Microsoft Word:

  1. Choose File → Save As, select PDF as the file type and save. The default settings are fine; no special options are needed.

LaTeX / Overleaf:

  1. Compile with pdfLaTeX (in Overleaf: Menu → Compiler → pdfLaTeX) and download the PDF.
  2. If your figures come from Python, MATLAB or other tools, export them as vector PDF with embedded fonts. For Matplotlib, put matplotlib.rcParams['pdf.fonttype'] = 42 before plotting.
Tip: Open the finished PDF and check it has no more than 6 pages, A4 size, all figures and equations visible, and no password or “security” restrictions. In Adobe Reader, File → Properties → Fonts should list every font as Embedded or Embedded Subset.
4

Create your IEEE PDF eXpress account

Go to ieee-pdf-express.org. You need an account for this conference. The Conference ID for EM³I 2027 is 70555X.

If you have never used PDF eXpress before

  1. Click First time logging in? Click here (or Create account).
  2. Enter the Conference ID 70555X, your e-mail address (twice) and a new password, then click Continue.
  3. Fill in the required contact details. Give a phone number: IEEE uses it if there are e-mail problems.
  4. You will receive an account-setup confirmation by e-mail. If nothing arrives within 24 hours, check your spam folder and then write to [email protected].

If you already have a PDF eXpress account from another conference

  1. Log in with the Conference ID 70555X, your e-mail address and your old password.
  2. When asked “Do you want to register with this Conference ID?”, click Yes, confirm your details and submit.
Use one account per author, one “title” per paper. If you have two accepted papers, create a separate title for each. Always use the Conference ID 70555X (not an ID from any other conference).
5

Upload your paper to PDF eXpress

  1. After logging in, click Submit New Title (below the Title Status Table). Do this once per paper.
  2. Type identifying text. We suggest “<CMT paper ID> – <short paper title>” so that you can recognise it later.
  3. Choose how you want to submit:
    • Submit PDF for Checking (recommended): you upload the PDF you made in step 3 and PDF eXpress tests it. Use this if you have a PDF from Word or LaTeX.
    • Submit Source File(s) for Conversion: you upload a Word file, or a ZIP of your LaTeX project with all images, and IEEE builds the PDF for you. Use this as a fallback if checking keeps failing.
  4. Browse to your file (or drag it onto the page) and click Upload/Continue. You will see an on-screen confirmation, and also receive an e-mail confirming that the upload arrived.

The check or conversion usually finishes within a few minutes, but may take longer when many authors upload at once.

6

Read the result

You will receive an e-mail from PDF eXpress, and the result is also shown in your account.

  • Your PDF passed: the e-mail says the PDF passed. Go to step 7.
  • Your PDF failed: the e-mail contains a PDF Check Report that names the problems (for example “fonts not embedded”). Look at the “Understanding the PDF Check Report” section in your account for the fix, correct the file, then click Try Again next to the same title and upload again. See also the common problems below.
  • You submitted source files: you receive the converted PDF as an e-mail attachment, and it is also in your account. Open it and check every page, especially equations, special characters, tables and figures, as conversion can change these. If it is wrong, correct your source and use Try Again. If the errors are not in your source file, use Request a Manual Conversion and describe the problems with page and figure numbers.
Never click “Submit New Title” to re-upload an existing paper. Always use Try Again. Every title has a limited number of checks and conversions; if you use them all, write to [email protected] and mention your Conference ID and title.
7

Download and keep the approved PDF

  • After a successful check, the approved file is simply the PDF you uploaded. Use that same file.
  • After a conversion, download the converted PDF from the e-mail attachment, or from your PDF eXpress account (open the title and use the download link for the converted PDF).
  • Save it as <ID>_final.pdf, with your CMT paper ID.
  • Do not edit it after approval. Opening it in a PDF editor, adding comments or bookmarks, or re-saving or compressing it can change its internal structure. If you must change anything, correct the source and run the PDF through PDF eXpress again.
  • Open the final PDF once more and read it from start to end. Check the author names and the page count.
Copyright form: EM³I collects the IEEE copyright form through CMT (step 8), so you do not need to complete a copyright form inside PDF eXpress.
8

Prepare the other files

Source ZIP (<ID>_source.zip)

  • Word: the final .docx and all figures as separate files.
  • LaTeX: the complete project (.tex, .bib, style files, and all figures). It must compile on its own. In Overleaf use Menu → Download → Source.
  • Do not include large unneeded files (raw datasets, old drafts).

Response to reviewers (<ID>_response.pdf, only if your paper was accepted with a minor or major revision)

  • For every reviewer comment, quote it, write your reply, and state where in the paper (section, page, line) you changed it.
  • If you disagree with a comment, say why politely.
  • Keep it clear and short. The TPC reads it when it confirms your revision.

IEEE electronic copyright form (eCF) (<ID>_eCF.pdf)

  1. In CMT, open the IEEE eCF link for your paper (it appears once camera-ready is enabled).
  2. Complete the online form. The author who signs must be authorised to transfer the copyright on behalf of all authors.
  3. Download the completed form as a PDF and keep it for upload. Papers without a copyright form cannot be published.
9

Upload everything to CMT

  1. Log in to the EM³I 2027 CMT site and open the Author Console.
  2. In the row of your paper, click Camera Ready.
  3. Upload the final PDF, the source ZIP, the eCF PDF and (if applicable) the response PDF in the places provided, then submit.
  4. Check that CMT shows all the files as uploaded. You can replace them until the deadline, so a mistake can be corrected.
  5. For Minor Revision papers: the TPC checks your revision after you submit. If something is missing you will get a message through CMT, so please keep an eye on your inbox (and spam folder).
Done? Registration and presentation come next. See the box at the end of this page.

Common problems and how to fix them

ProblemWhat it means and how to fix it
Fonts not embedded (for example TimesNewRomanPSMT, ArialMT)Re-save the PDF from your Word or LaTeX file (see step 3) and check it again with Try Again. If it still fails, click Try Again and upload the Word file (or LaTeX ZIP) with Submit Source File(s) for Conversion, or ask technical support.
Type 3 fontsUsually caused by figures made by plotting tools, or by old LaTeX font packages. Re-export the figures as vector PDF with TrueType/Type 1 fonts (Matplotlib: pdf.fonttype 42), or as a PNG at 300 dpi or more. Compile with pdfLaTeX and an up-to-date TeX distribution.
Wrong page sizeThe paper must be A4 (210 × 297 mm), as in the IEEE A4 template. Set the paper size in Word (Layout → Size → A4) or in LaTeX (\documentclass[conference,a4paper]{IEEEtran}).
Password or security restrictionsSave the PDF again without any password, encryption or “disallow copying/printing” setting.
Missing images or symbols after conversionEmbed the images in the Word file (do not link them). In LaTeX, put all images and style files in the ZIP and reference them with correct file names.
More than 6 pagesPDF eXpress does not count pages, but the TPC does. Shorten the text, tighten figures, or trim the references. Extra pages cannot be purchased.
Check keeps failing for no clear reasonClick Try Again and submit the source file for conversion; or open the PDF Check Report in your account; or use Contact Technical Support in your account or write to [email protected] with your Conference ID 70555X and the title ID.
No e-mail from PDF eXpressCheck spam and junk folders, and look at the Title Status Table in your account, which shows the result even when the mail is blocked.
I cannot find the Camera Ready link in CMTIt is enabled by the organisers after your paper is accepted (or, for revisions, after the TPC accepts them). Write to [email protected] with your paper ID.

Final checklist

Tick everything before you press Submit in CMT.

  • The paper uses the IEEE A4 conference template and has at most 6 pages including references.
  • All reviewer comments are addressed (and the response letter is ready, if the paper was revised).
  • The author names, order, affiliations and e-mail addresses are correct and the same as in the reviewed submission.
  • There are no page numbers, headers, footers or copyright notices, and no tracked changes or comments.
  • The PDF has passed IEEE PDF eXpress (Conference ID 70555X) and has not been edited since.
  • The source ZIP opens and contains everything needed to rebuild the paper.
  • The IEEE copyright form is completed, downloaded and saved as PDF.
  • All files are named with the CMT paper ID, and uploaded in CMT before the deadline.

Frequently asked questions

Do I need PDF eXpress even if my PDF already looks perfect?
Yes. Every paper must be checked by IEEE PDF eXpress using the EM³I 2027 Conference ID (70555X). IEEE Xplore only accepts PDFs that meet its technical specification, and the check cannot be skipped.
Should I upload a PDF for checking or send my Word/LaTeX source for conversion?
Checking your own PDF is faster and gives you full control over what the paper looks like. Use conversion only if the check keeps failing. Always inspect a converted PDF page by page.
PDF eXpress passed my PDF. Do I get a new “checked” file back?
No. A passed check means the PDF you uploaded is acceptable. Upload exactly that file to CMT. If you change it afterwards, even slightly, check it again.
Can I change the title, abstract or authors in the camera-ready version?
Small changes to the title and abstract that come from the reviewers’ comments are fine, but please keep the title in the PDF and in CMT identical. The author list and author order must not be changed.
I got a different Conference ID from another site or a previous conference.
Only the Conference ID 70555X works for EM³I 2027. An ID from another conference will put your paper into the wrong conference.
I have two accepted papers. Do I need two accounts?
No. One PDF eXpress account is enough: use Submit New Title once for each paper. In CMT, however, each paper has its own camera-ready upload and its own copyright form.
How do I get help with PDF eXpress?
Use Contact Technical Support in your PDF eXpress account or write to [email protected]. Always mention the Conference ID and the title ID. For anything related to CMT, the deadline or the conference, write to [email protected].
After the camera-ready submission. Each accepted paper needs its own full registration by one of its authors, and at least one author must present the paper on 29–30 January 2027, in person at Gauhati University or online (EM³I 2027 is a hybrid conference). Papers that are not registered and presented cannot be submitted to IEEE Xplore. Registration details will be announced on the Registration page.
